Plain English: we collect only what we need to build your website or research your list, we never sell your details, and you stay in control. Here is exactly what we collect, who helps us run things, and how to reach us.

Who we are

What we collect when you enquire

When you fill in our form, we collect your name, your business name and what your business does, your website if you give one, your email and phone number, and the job you would like help with. We use these to get in touch, talk through what you need, and set things up if you decide to go ahead.

When we research a list for you (The Right List)

If you order The Right List, we research and compile lists of business contacts (a named person, and the business phone and email) from publicly available and business sources, and we provide that list to you, the client who ordered it, for your own business outreach. This is the one service where we handle other people's contact details. We collect only what is needed for legitimate business-to-business outreach, take it from public and business sources, and keep our own copy only as long as needed to deliver and support your order. If someone on a list contacts us to ask what we hold or to be removed, we will action it, just email info@rightpilot.com.au. How the list is used after we deliver it, and compliance with the Spam Act, the Do Not Call rules and the Privacy Act, is the responsibility of the client who uses it.

Websites we look after (Care)

If you are on a Web Design and Development Web Care plan, your website runs from a hosting account in your own name, and we look after it for you. Messages your site collects (for example, an enquiry through a contact form) go straight to your own inbox; we do not keep a copy. We keep a full copy of the website itself so we can rebuild it, and you stay responsible for your own site's privacy notice to your visitors. Your domain and your website are yours.

What you give us for a website (Web Design and Development)

When you order a website, you give us the things we need to build it: your business details, your logo and photos, and any words or content you want on the site. We use these only to design, build and hand over your website, and to support it if you are on a Web Care plan. The finished site, your domain and your content are yours.

We never ask for or need your passwords. If we ever need access to something you already own, like a domain name or a Google Business Profile, you set that up yourself and you can remove our access at any time.

What we store

On our side we keep the details you gave us when you enquired or signed up, the project details and any content you shared with us to do the work, and your invoices and payment references. We keep these confidential, and only for as long as we need them to deliver and support your work.

If you sign an agreement online, we also keep a copy of your signature, your name and the date you signed, as the record of that agreement.

How long we keep it

We keep your details and project details only while we are actively working with you, and delete them when you stop. The exception is records the law requires us to keep, like invoices, receipts and signed agreements, which we hold for as long as the law requires (for tax and record-keeping) and no longer.

The providers we use to run the business

To deliver the service we use a few trusted providers, each handling only what they need to:

Analytics and cookies

We keep a simple, cookie-free count of which pages get visited (the page address and where the visit came from), so we can see what is useful. It holds no personal details and is not tied to you.

On our public pages we also include an advertising pixel from Meta (Facebook and Instagram), so that if we run ads we can measure how they perform and whether they brought someone to the site. It may set its own cookies from Meta, and if you arrive from one of our ads we note which ad brought you. We never load it on the private links we email you.

Where your information is stored

Some of the trusted providers above store data on secure servers outside Australia, including in the United States. This is normal for online services. Wherever your information goes, we only use providers we trust to keep it safe, and we only ever share what is genuinely needed to provide the service. Emails we send you

When you enquire, we will email you back and may follow up a couple of times about your enquiry. By sending us your details, you are happy for us to contact you this way. Every email we send says it is from Right Pilot and gives you a simple way to stop: just reply with "stop" and we will not email you again. We will never sell your details or add you to a marketing list.

We never sell your information

We never sell your data. We do not share your information with anyone except where it is genuinely needed to provide the service (for example, the trusted providers above), where you have asked us to (for example, delivering a list you ordered to you), or where the law requires it.

Seeing, fixing or removing your information

You stay in control of your information. At any time you can email us to ask what we hold about you, get a copy, fix anything that is wrong, or ask us to delete it. Email info@rightpilot.com.au and we will sort it out, usually within a few days.

Keeping it safe

We use trusted, secure providers and only keep what we need. In the unlikely event of a data breach that could put you at risk, we will tell you promptly and let you know what we are doing about it.

If you are ever unhappy

If you feel we have mishandled your information, please tell us first at info@rightpilot.com.au so we can put it right. If we cannot sort it out together, you can contact the Office of the Australian Information Commissioner (oaic.gov.au), the national privacy regulator.
